Work Study Information 
This information applies to both Student Assistants and students employed in the academic positions of Reader and/or Tutor who have a Federal or Presidential work study allocation for the current academic year.
The Work Study Program
The Work-Study Program begins each year at the beginning of Fall Quarter in September and continues through the last day of finals in June. Under this program, a portion of the student's wages is paid by the Federal government and other outside sources. The program is funded approximately 50% from the Federal work-study Program and 50% from the employer's funding. More information is available from Financial Aid and the Career Center.
Each year in August, the Business Office sends supervisors a letter asking them to submit, by September 1, their requests to hire students.
Fall Work Study Orientation
Each year there is a fall orientation, which we strongly encourage hiring supervisors or representatives to attend. Employers may:
- contact the Career Center at x9-4148 to reserve their own space (bringing their own tables, chairs, flyers, etc.) or
- contact their Payroll/Personnel Representative to be included in the space reserved by the Business Office.
Students can be interviewed right after orientation is over, or supervisors can set up appointments for another time.
Recruiting After the Orientation
Requests to Hire (PDF) work study students may be submitted to the Business Office at any time during the academic year, however hiring supervisors should be aware that the applicant pool is at its peak in the Fall. Please refer to our on-line hiring process.
Hiring Authorization
The Business Office must have a signed Hiring Authorization Form (HAF) before work study funds can be charged for their wages. The student may obtain a HAF from their hiring supervisor and bring it to the Business Office, or the Personnel/Payroll Representative can print a HAF for the student's signature when they come to the Business Office.
Work Study Allocations
If a student holds more than one position, he/she needs to specify how his/her work study funds are to be allocated between the various positions by completing and signing the HAF. Any additional changes to work study allocation split will need to be done at the Career Center.
Students and supervisors will be notified by the Business Office when work study funds run low to see if the student will continue in the same position on a non-work study basis. If a student is extended on a non-work study basis, he/she needs to contact the Financial Aid Office immediately to discuss any possible effect this may have upon any allowable earnings limit and his/her financial aid eligibility.
Work Study Time Records
Students complete an NCR, multi-copy, "work study" time record to report time worked.
