Resignation & Separation

(This section applies to all academic, staff and graduate student employees.)

Please contact your Personnel/Payroll Representative or Academic Personnel Coordinator for assistance in the Separation process.

  • Resigning employees need to submit a resignation letter for their supervisors to sign and forward to the Business Office. The supervisor should provide the employee with a copy of the resignation letter with both signatures.
  • Employees whose appointments are ending and are not being reappointed or employed elsewhere on campus still need to contact their Personnel/Payroll Representative to complete the necessary paperwork.
  • Resignation letters from academic (non-student) employees should be forwarded to the Academic Personnel Coordinator; all others should be forwarded to the appropriate Personnel/Payroll Representative.

Attention Supervisors, Departments and Employees

The Division has established a Separation Checklist for tracking and documenting the separation process for each individual via the web. Approximately one month prior to an appointment ending, or immediately upon receiving a resignation letter, Personnel/Payroll Representatives create an employee's separation checklist which automatically generates an e-mail to the Employee, Supervisor, and Department if appropriate, notifying the Supervisor, and Department if appropriate, to complete their portion of the checklist by the separation day. A copy of the completed checklist will be retained in the employee's file. Departments/PIs should notify their Physical and Biological Sciences' Personnel/Payroll Representative if a graduate student is graduating or is no longer a student. Employees can view their personal checklist to see what needs to be completed, and with whom, prior to their last day of work.


Attention Separating Employees: if Applicable, Have You . . .

1. Viewed your personal separation checklist to see what needs to be done before you leave the University (see e-mail for web site address)?

2. Contacted your Physical and Biological Sciences Personnel/Payroll Representative or Academic Personnel Coordinator to:

  • submit your letter of resignation (signed by you and your supervisor) stating your final day of work or that you will not be returning to work following a leave?
  • submit your final time record, along with any other outstanding ones, to ensure that you receive any final pay due?
  • submit your Staff ID Card, UC Visa or Pro Card, and PARs?
  • sign separation paperwork?
  • receive a separation packet, including insurance continuation forms, UC retirement and 403(b) distribution forms?

3. Turned in your:

  • keys to your supervisor, department or directly to the Stockroom at Thimann Labs to avoid possible fine?
  • parking permit to TAPS for possible partial refund?
  • copy or calling cards to your supervisor or department?

4. Removed all personal files from your work computer?

5. Given your voice mail passcode to your supervisor?

6. Paid all outstanding personal debts such as phone or travel charges?
