Overtime or Additional Time
(applicable to non-exempt employees only)
Definitions
- Overtime: Overtime is time on pay status that exceeds 40 hours on pay status in a workweek. Overtime shall be reported and compensated on the basis of the nearest 1/4 hour.
- Additional time: time on pay status that exceeds the hours of a part-time employee's normal schedule up to 40 hours in a workweek. Additional time shall be reported and compensated on the basis of the nearest 1/4 hour.
- Pay status includes time worked and paid leave such as sick leave, vacation leave, holidays, military leave, compensatory time off, and administrative leave with pay.
- Workweek:
for K7 employees (Skilled Crafts) only: Saturday 12:01 AM through Friday midnight
for all other nonexempt employees: Monday 12:01 AM through Sunday midnight
Approval Process
The need to work additional hours is determined by the supervisor and must be approved by the Division in advance. In accordance with applicable policy or bargaining unit contract, the supervisor assigns the additional hours to the employee. Employees must complete an Overtime/Additional Time Request form, sign it, and give it to the supervisor for signature and forwarding to the Business Office. After Business Office review, copies of the form will be returned to the employee and the supervisor indicating Divisional approval status and any applicable special conditions.
Compensation
- For part-time employees, additional time, up to 40 hours per week, is always compensated with pay at straight time.
- Overtime may be compensated with pay or with compensatory time off (CTO).
- Employees shall be compensated at the straight-time rate for hours of overtime not exceeding 40 hours of actual work in a workweek.
- Employees shall be compensated at the premium rate of 1-1/2 times the regular rate of pay for hours worked which exceed 40 hours of actual work in a workweek, not simply hours on pay status in a workweek. EXCEPTION: For skilled crafts employees, vacation, sick leave, holidays, jury duty and compensatory time off are counted as "hours of actual work" for calculating premium overtime
