Checklist for Orienting New Employees

These are some suggested topics for new employees and their supervisors to discuss.

GETTING PAID

  • Work hours, work schedule, shifts
  • Attendance (including tardiness)
  • Pay days
  • Time and attendance records
  • Exempt vs nonexempt status
  • Overtime or Additional Time if part time (prior approval, accrual and use of CTO, or for pay)

TAKING TIME OFF

  • Lunch and breaks
  • Holiday pay (also explain to part-time re:special recording on time record)
  • Vacation (accrual rate, requesting)
  • Sick leave (accrual rate, proper leave use ; FMLA)
  • Other leave: Jury duty, attending funerals, military leave, etc.
  • Campus closure
  • Notifying supervisor or others

PERFORMANCE APPRAISAL

  • Review job duties, priorities, performance evaluation form
  • Job standards: what is expected, how performance will be measured
  • Probationary period
  • On the job training; how much & when; Training & Development classes
  • Meetings to discuss progress
  • Merits, award program

OFFICE CULTURE
- Personal appearance
- Personal conduct, code of ethics/behavior, confidentiality
- Unit practices, etc.
- Staff Meetings

CAMPUS SERVICES

  • Eating areas, restaurants, coffee carts
  • Parking and transportation options, shuttles
  • Benefits (contact Benefits @2013)
  • Library, OPERS, Training & Development
  • Reduced fee for enrollment; Training & Development process
  • IIPP training (Illness and Injury Prevention Program)

ADDITIONAL REFERENCES

  • Groups and organizations, as applicable

UNIT AND CAMPUS STRUCTURE

  • How unit is structured, organization chart, introductions, tour of building
  • How employee's job fits into structure
  • How unit fits into campus structure
  • Unit priorities
  • Unit budget, as appropriate
  • Keys, supplies, travel, reimbursements, business cards

RESOLVING PROBLEMS

  • First Contact is supervisor; whom to contact in supervisor's absence
  • Unit/Service Center Personnel/Payroll Contact
  • Campus resources: Staff HR, Affirm. Action, Labor Relations, Sexual Harassment, etc.
  • Union representative-for represented employees

SAFETY ISSUES

  • Safety rules, including Hazardous Waste, Radiation, etc.
  • On-the-job injury (Workers' Comp.)
  • Disaster and evacuation plans, contact, alarms
  • How/who to ask for help (in unit, EH&S)
  • Work Station Ergonomic Principles

USE OF EQUIPMENT, ETC.

  • Personal and professional use of computer, fax, phone, copier
  • Telecommuting
  • Use of facilities, if available (kitchen, water, etc.)

CAMPUS POLICIES

  • Sexual harassment policy
  • Americans with Disabilities Act policy
  • Nondiscrimination policy
  • Bargaining unit/personnel programs; access to appropriate policy or contract on web
  • Smoking policy; Drug-free workplace policy
  • Whistleblower policy
  • Personal Protective Equipment Policy
  • Hazard Communication Program & Policy
