Audit Preparation Notes For Supervisors

PREPARATION FOR CLASSIFICATION REVIEW AUDIT

Please also read the notes prepared for employees for additional information. the Staff Human Resources Analyst will need.

  • The Staff Human Resources Analyst will meet with you, normally separately, and will be confirming the duties and responsibilities that were discussed with the employee.

  • The analyst will not expect you to go over the complete job description but most likely will ask questions to clarify and confirm points made in the employee's audit.

  • It is important you are aware of, and in agreement with, the information the employee will be providing during their audit.

  • Be prepared to discuss the background that has lead to the classification review, especially major/significant changes in the organizational structure of the unit and/or new/additional tasks and/or responsibilities that have been assigned to the employee. · An important area to discuss will be the amount of supervision exercised over the position being reviewed: what is the level of review over the employee's work; what issues does the employee make decisions on versus what are they expected to bring to their supervisor.

  • Be prepared to discuss the supervisor's role in relation to particular examples the employee has provided in the audit.

  • The analyst may ask about comparable positions, both within your area of responsibility as well as any you may be familiar with that are outside of your unit/department. They will want to know how you compare the level of responsibility between those positions and the position under review.

  • REMEMBER: it is not how valuable an employee is, how long they have been working here, what a terrific performer they may be, how reliable they are, that you are afraid they will leave without a reclassification, etc., that determines classifications. Duties, level of responsibility, skills and knowledge are the factors being reviewed. (Likewise, you may need to separate any performance concerns from the responsibilities assigned to the position.)
