Administration > Business Office > Personnel/Payroll > Academic Employees Hiring Associates In and Teaching Fellows Authority for Appointment Offers A "written notice of appointment" is a letter from the Dean, Department Chair, or Program Director with an attached acceptance form for the appointee to sign and return. Once a "written notice of appointment" is accepted by the Teaching Assistant, Associate In, or Teaching Fellow (e.g., the acceptance sheet is signed and returned to the designated office by the time stated in the letter), the appointment becomes official and is entered into the payroll system. Under no circumstances should an appointee assume that any offer of employment, whether written or oral, as Teaching Assistant, Associate In, or Teaching Fellow, by any faculty member or staff other than the Dean, Department Chair, or Program Director, constitutes a "written notice of appointment". Review Process An appointment of an Associate In or Teaching Fellow to teach courses that meet general education requirements or that are upper-division level, require prior approval by the Graduate Dean and review and recommendation by the Committee on Educational Policy (CEP) before the Dean can issue a "written notice of appointment". These particular appointments require additional file materials as mandated by CEP. A written notice of appointment of Associates In or Teaching Fellows that do not require Graduate Dean approval and CEP review is usually issued within two weeks of the file being submitted by the department to the division. A written notice of appointment of Associates In or Teaching Fellows that do require Graduate Dean approval and CEP review is usually issued within one week of the division receiving the CEP recommendation for appointment (these files are due to CEP two quarters prior to the quarter in which the course is to be taught).
